Privacy Notice

Last updated: 24 September 2026

This notice explains what personal information I collect when you use paulbutlercoach.co.uk, sign up for the Kickstart, buy the Never Start Again System or work with me as a coaching client, and what I do with it. I've kept it in plain English. If anything isn't clear, email me and I'll explain.

1. Who I am

Paul Butler Coach is run by Paul Butler, a personal trainer, nutritionist and life coach based in Southampton, Hampshire, UK. I'm the "controller" of your personal information, which means I decide how it's used and I'm responsible for looking after it.

Contact: [email protected]

2. What I collect

  • Contact details: your name, email address and, if you give it, your phone number.
  • Purchase details: what you bought, when, and how much you paid. Card payments are handled by Stripe. I never see or store your full card number.
  • Coaching information: if you become a coaching client, the answers you give in your starter questionnaire and check-ins, such as your goals, training history, schedule, food preferences, progress and any injuries or health conditions you choose to tell me about.
  • Messages: anything you send me by email, message or reply.
  • Usage information: basic information about how you use the website and emails, such as pages visited and whether an email was opened or a link clicked.

3. Why I use it

Data protection law says I need a lawful reason (a "legal basis") for each thing I do with your information. Here they are:

What I doLegal basis

Keep financial and tax recordsLegal obligation
Answer your questions and handle refundsTo perform our contract, or my legitimate interest in helping you
Understand how the website and emails are used so I can improve themMy legitimate interests (and your consent for non-essential cookies)

I don't sell your information, and I don't use it to make automated decisions about you.

4. Health information

Information about your health, such as injuries, medical conditions or medication, is "special category" data and gets extra protection. I only collect it from coaching clients, only so I can coach you safely, and only with your explicit consent, which you give when you submit your starter questionnaire. You can withdraw that consent at any time. If you do, I may not be able to keep coaching you safely, and I'll talk that through with you.

5. Who I share it with

I use a small number of trusted services to run the business. They process information on my behalf and only as I instruct:

  • HighLevel: website, sign-up forms, email sending, members area and client records.
  • Stripe: card payments and subscriptions.
  • Mailgun: delivers the emails sent from HighLevel.
  • MyPT Hub: the coaching app for programmes, food targets and check-ins (coaching clients only).
  • Google: email and documents.
  • Loom: personal video messages I record for coaching clients.
  • YouTube: hosts the videos shown on the website and in the members area.
  • ImprovMX: forwards email sent to my business address.

I'll also share information if the law requires it, for example with HMRC.

6. International transfers

Some of these services are based in, or store data in, the United States. Where that happens, the transfer is protected by the UK's data bridge with the US or by the standard data protection contract terms approved for use in the UK.

7. How long I keep it

  • Email sign-ups: until you unsubscribe. If you haven't opened an email for two years, I'll remove you.
  • Purchase and payment records: six years, because tax law requires it.
  • Coaching records, including health information: for as long as you're a client and for two years after you finish, so you can pick up where you left off if you come back. After that they're deleted.
  • Members area access: for as long as you have access to the product.

8. Your rights

You can ask me to:

  • give you a copy of the information I hold about you;
  • correct anything that's wrong or incomplete;
  • delete your information, where I don't need to keep it for a legal reason;
  • restrict or object to how I use it;
  • send your information to you or another service in a usable format;
  • withdraw any consent you've given.

Just email [email protected]. It's free, and I'll respond within one month.

If you're unhappy with how I've handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

9. Emails and unsubscribing

Every marketing email has an unsubscribe link at the bottom. One click and you're off the list. You'll still get emails that are part of something you've bought, such as your login details or coaching messages.

10. Cookies

Cookies are small files a website saves in your browser. This site uses:

  • Essential cookies that make the site, checkout and members area work. These can't be switched off.
  • Analytics and marketing cookies that help me understand how visitors use the site and whether my adverts work. These are only used with your permission.

You can clear or block cookies in your browser settings at any time. Videos are embedded using YouTube's privacy-enhanced mode, which doesn't set cookies until you press play.

11. Keeping it safe

Access to your information is limited to me and the services listed above. They use industry-standard security, including encryption. Your members area and coaching app are protected by your own login.

12. Changes and contact

If I change this notice, I'll update the date at the top. If the change is significant, I'll let you know by email.
